Position Description
OVERVIEW & PURPOSE
This individual is responsible for making sure all members have detailed information from meetings. Other duties include maintaining and organizing the Google Drive, upkeeping official WMAC documents along with the Board Chair, possession of the physical official document file, and reporting on the WMAC budget to the board.

This individual is responsible for making sure all members have detailed information from meetings. Other duties include maintaining and organizing the Google Drive, upkeeping official WMAC documents along with the Board Chair, possession of the physical official document file, and reporting on the WMAC budget to the board.
SHARED DUTIES
- Attend meetings and events according to attendance policy.
- Assist in planning events and other opportunities.
- Main organizer of each event must write event description and send to board chair who will then deliver to the program directors for review.
- Contribute to the monthly newsletter.
- Remain active in Facebook group by consistently posting.
POSITION-SPECIFIC DUTIES
- MEETING MINUTES: During each meeting, take detailed notes. Within three days, publish the notes on the GDrive and send an email notification to the board that the notes are ready to view.
- BUDGET REPORTS:
- Bi-weekly Financial Report includes detailed information about budget including how much is currently in the account and where the board is in regards to the financial breakdown for spending categories. (i.e. how much is available for events, marketing, etc)
- Annual Financial Report is the final financial report you will create at the end of your WMAC term. This document will include the following:
- Initial Financial Amount at beginning of term
- Intended budget for each category
- Actual budget spent in each category
- Final financial amount at end of term
- GOOGLE DRIVE MAINTENANCE: The google drive holds all of the important documents for WMAC. More documents will be created during your service term. It is your duty to maintain documents that should be updated and revisited as well as organize all new documents into manageable files and folders.
- MAINTAIN FINANCIAL DOCUMENTS: This includes collecting, scanning, and filing receipts and documents, and making deposits and withdrawals.
- This includes being listed as one of two responsible persons for the bank account. At the beginning of the term, the board chair, you and the past board chair will meet at the bank to change the bank account into the current board chair’s name and your name.
